Some church members have been calling publishers, ordering books and then charging them to my bookstore account. How can I stop this?

altMy, my, shame on them! To begin, you should call the publishers who have allowed this to happen. Contact their customer service departments, and tell them about your dilemma and how you would like your account to be handled in the future.

Ask your customer service representative how you can ensure that the person placing the order is authorized to charge on your account. You will probably want to:

  • Specify the persons who are authorized to place orders for the bookstore. Stipulate that a P.O. (purchase order) number is required for each order.

  • Send a letter stating the exact manner in which all of your store's orders will be made, including the steps above.

  • This situation has happened to me only a few times. When it has, I have made an appointment with the church member to discuss the unauthorized charge. When we met, I let them know--in no uncertain Betty terms--that this was unacceptable.

However, if you feel that you can't handle the situation on your own, speak with your church's business administrator about it, and let his office handle the church member.
